Course Proposals - Instructions and Forms

In response to requests from faculty, UW-Madison will implement an online course proposal process in summer 2012.  The two primary elements of the new course proposal process will be 1) web-based forms and 2) a workflow that will electronically route each proposal through the stages of the approval process:  i) the individual proposing the course; ii) the department/program that houses the course’s Subject listing;  iii) the school/college approval committee; iv) the divisional committee; and v) finally  the Registrar’s Office. Updates will be posted to this website. If your unit is planning to start a course proposal soon and would like to be part of a pilot group for the new online course proposal process, please contact Andrea Poehling, divisional committees coordinator, at 262-2143 or apoehling@secfac.wisc.edu.

Forms

Course proposals must be submitted via the online course proposal process, which will launch in early summer2012. The forms available below will no longer be accepted. They are, however, available to download in case you wish to use them as a guide for preparing course proposals until the online course proposal process is available.

IMPORTANT: Download and save the form to your computer before filling it in. If you fill in the form directly on the web, you risk losing your changes.

Certain items on the form benefit from additional instructions; there are direct links to those instructions on the form itself.

Instructions

Although the method for submitting course proposals will change with the online course proposal process, the the stages of the course proposal process will be the same as listed below. These instructions will be updated once the online course proposal process has launched.

A course proposal originates with the academic owner. The academic owner is the department or program that is responsible for a particular subject area within Course Guide. Follow these steps:

1. Complete the appropriate form. The course proposal consists of the form and any required attachments. A cover letter is not required. Send the proposal to the appropriate committees in order to obtain approvals, as described in the following steps. Be mindful of both school/college curriculum committee deadlines and divisional committee deadlines.

2. Obtain approval from the academic owner's curriculum committee. If the course is crosslisted, also obtain approval from the curriculum committee of each crosslisted academic unit. Append evidence of approvals (which can be either memos or emails) to the course proposal.

3. Obtain approval from your school/college's curriculum committee. If the course is crosslisted with academic units outside your school/college, also obtain approval from the curriculum committees of each crosslisted school/college.

4. If you are in an academic unit outside the College of Letters and Science and are requesting LAS credit or L&S attributes (breadth, level or literature) for your undergraduate course, obtain approval from the L&S curriculum committee. This step can be done before, after or concurrent with obtaining divisional committee approval.

5. Obtain divisional committee approval. Your proposal will be sent to the divisional committee in one of two ways:

Divisional committees staff will confirm receipt of the proposal with you, the academic owner. You can track the status of your proposal online. After the divisional committee approves the proposal, divisional committees staff will notify both you and the Registrar's Office, which will process the course. This is the final step in the course approval process, unless you request consideration of a general education requirement.

6. If your undergraduate course should be considered for a general education requirement, follow the instructions on the general education website.

Agendas will be posted approximately two weeks before each meeting. Minutes will be posted approximately two days after each meeting. Only the sections of the agendas and minutes pertaining to course proposals will be posted.
